How to check an education vendor before you spend

Check the vendor on the program's own approved list, confirm the listing date, and get invoices with your child's name. Arizona has no list, so receipts matter more.

Updated

Check the vendor on the program's own approved list, confirm the listing date, and get invoices with your child's name. A vendor's own claim is a lead, not proof.

Step 1: find the official list

Florida families search providers inside the EMA Marketplace after login. Step Up for Students runs the only live record of who is approved.

North Carolina publishes ESA+ tutoring providers on the SEAA site, which names Outschool and Varsity Tutors for online tutoring. Utah, Texas and Iowa vendors sit inside the Odyssey marketplace for each program.

Arizona is the exception. Its own handbook says the program keeps no approved list. Vendors register in ClassWallet instead. A vendor that says it is approved in Arizona usually means ClassWallet-registered.

Texas has an independent school finder at tefaprogram.com. It is useful but it is not the state. Confirm any school there against the Odyssey portal.

Step 2: match name, place and program

Match three facts: the legal business name, the city, and the exact program (FES-UA is not FES-EO). Chains differ by branch: one Mathnasium center's approval does not prove another's.

Note the date. A list read in spring may be stale by autumn. This directory prints the read date on every approval label for this reason.

Step 3: ask two questions

Ask the vendor: do you take direct pay in my program's marketplace, or do I pay and claim? Ask the program: is this expense, from this vendor, approved for my child? Keep both answers in writing.

Step 4: build a paper trail

Get itemised invoices with your child's name, the dates of service and the learning purpose. Photograph receipts the same day. File claims termly. If a claim is denied, the paper trail is your appeal.

Red flags

Walk away from a vendor that guarantees reimbursement, inflates invoices to fit award amounts, or asks you to sign blank claim forms. Report fraud to your program. A clean vendor welcomes handbook questions.

Questions

The vendor says it is approved. Is that enough?

No. Check the program's own list yourself. Vendors sometimes claim approval they applied for but have not won.

What if my state has no list?

Arizona publishes none. Check ClassWallet registration, keep receipts, and match each expense to the handbook.

How fresh is a listing on this site?

Each approval label names the list and the date we read it. Lists change, so re-check before you spend.
